Reconciliation Nightmare?
Try the GFS Proven Approach
Few challenges can be more frustrating for a
securities operations manager than to have circumstances, beyond
his or her control, cause the firm's books and records to get away
from them and require extensive reconciliation. Mergers, system
conversions, even the untimely resignation of key staff can cause
a "clean" operation to be faced with the prospect of having to expend
valuable time and resources on a major reconciliation project. What
can make matters worse, is the "trap" these projects often fall
into that actually make the situation worse. Projects that should
have taken weeks to clean up, drag on for months.
It is always tempting to go after the "instant gratification"
of jumping in and trying to clean up old exceptions in the interest
of "getting the numbers down". Unfortunately, this approach all
but guarantees long-term failure. By treating the symptom (the exception)
instead of the disease (daily processing), before long, exception
numbers, after initially declining, will begin to climb due to the
failure of getting to the root causes of the problem.
GFS has successfully approached ALL of its data reconciliation
projects in the same fashion. An operations processing expert attacks
the problem from the front end while a "recon" expert attacks the
aged items. The GFS approach, a successful prescription to any data
reconciliation challenge that you may face, will keep those recon
projects that should take weeks … to just that. In the process,
it will help reengineer your daily workflow to ensure you won't
find yourself in the same frustrating situation again.
